👋 Welcome

Dear Volunteer — on behalf of the entire Wragby Show Committee, we want to say a heartfelt thank you for giving your time, energy and enthusiasm to help make this year's show a success. Events like ours simply could not happen without the incredible support of volunteers like you.

Whether this is your first time or you're a returning familiar face, your contribution makes a real and lasting difference to the smooth running of the day and to the thousands of visitors who attend.

Please read through this pack before the show opens. If you are ever unsure of anything on the day, speak to your section lead or contact the show lead Alice.

ℹ️ General Information

What to Bring
  • Suitable footwear — the showground is a grass field with uneven ground.
  • Clothing — dress for the weather; it's an outdoor event.
  • Refreshments — £12 food vouchers are provided for show day. Sandwiches, tea, coffee and soft drinks are provided during set-up and pack-down.
  • Water bottle — water is available on site but bring your own if possible.
What's Provided
  • A hi-vis jacket — for your safety and to identify you as a show steward.
  • A radio where appropriate for your role.
  • £12 lunch vouchers to spend at any food outlet on site, provided at the start of your shift.
Where to Park
  • Follow car parking steward directions into Car Park A or Car Park B.
  • On Show Day a Vintage Bus runs from various points around Wragby — see social media for the timetable.
Roles & Responsibilities
  • Report to your designated area 15 minutes before your shift starts. Details will be provided in your accompanying letter.
  • Wear your hi-vis at all times.
  • Keep your radio on the correct channel and within hearing range at all times.
  • Remain professional, approachable and friendly.
  • Take your allocated breaks, but inform your section lead before leaving your post.
  • Alcohol and drugs are not permitted during a volunteer shift.
  • At the end of your shift, return your radio, hi-vis and any other equipment to your section lead.

📍 Key Locations — Know Before You Go

Muster Points: Car Park A (east side) and Car Park B (south)
First Aid / Ambulance: Central Trade area
Gate 1: Main entrance off Goltho Lane (north) — emergency vehicle access
Gate 2: Western entrance by Horsebox Parking / Show Jumping Rings
Gate 3: Southern entrance near Dog Show / Hort / Pay Gate B
Secretary Tent (Sec): All event information — central Trade area
Toilets & Hand Sanitiser (T): Marked at multiple points across the site

🩺 Accidents & First Aid

Opposite the Secretary Tent — look for the large green First Aid flag, visible from all areas of the showground.
📍 Event Control

Located in the Secretary Tent — look for the large blue Secretary flag, visible from all areas of the showground.

If Someone Is Injured
  • Do not move the casualty unless they are in immediate danger.
  • Call 999 if the injury is serious or life-threatening.
  • Call Event Control on Channel 1 — give a brief description and your location.
  • Stay with the casualty and keep bystanders away until first aiders arrive.
  • Assist first aiders to complete an incident/accident report.

📋 Show Rules

We aim to provide a safe, friendly and enjoyable event for both participants and visitors.

Key Rules to Enforce
  • No vehicle movement on the showground between 9am and 5pm. If you see a vehicle moving without a show gator escort, report it immediately to Event Control on Channel 1.
  • No smoking anywhere on the showground. If someone is smoking, ask them to extinguish in the sand buckets provided.
  • Report all issues to Event Control at the earliest opportunity via Channel 1.
  • Random bag checks will be carried out by trained professionals at show entrances. Visitors have been notified via the website and signage at pay gates.
  • Forbidden items: alcohol, drugs and weapons.
  • The Chairlady may alter the programme or layout at any time in the interests of safety.
  • In any dispute, the Chairlady's decision is final and binding.

🔥 Fire

⚠️ Elevated Fire Risk

This year carries an unprecedented risk of fire due to the parched condition of the grass. Extra vigilance is required from all volunteers.

If a Fire Is Seen or Reported

Assess the danger and move the public away to a safe distance.

Call 999 if the fire presents an immediate risk to life.

Call Event Control on Channel 1 and give your location — they will call 999 if not already done.

Only tackle the fire if it is safe to do so. Buckets of sand, fire extinguishers and grass beaters are situated around the showground. Show Gators are equipped with firefighting equipment.

Qualified stewards may tackle the fire only if appropriate.

ℹ️ Note

If the danger of the fire spreading increases, Event Control will call for an evacuation — see the Evacuation section.

🚪 Evacuation

Evacuation Plan
  • Escape points are marked on the showground map — through Pay Gate A and Pay Gate B.
  • Muster points are located in the Car Park.
  • Communication will be via PA systems, radio, or by voice with stewards spreading the word across the showground.
  • Anyone exiting via Gate 1 should be guided to the left to keep the right-hand lane clear for emergency vehicles.

Evacuate to the Car Park via Pay Gate A or Pay Gate B. Report to your section lead for a headcount as soon as you arrive.

🧒 Lost Children & Vulnerable Adults

📍 Lost Children Point

The Secretary Tent is the designated collection point. Event Control will take over once notified.

⚠️ Do NOT state a child's or vulnerable adult's name or description over the radio.

If a Child or Vulnerable Adult Approaches You

Immediately report to Event Control on Channel 1 with your location. Do not give the child's name or description over the radio.

Do not leave the child or vulnerable adult alone.

Find a suitable adult to accompany you and escort them to the Secretary Tent, where Event Control will take over.

If a Guardian Reports a Missing Child or Vulnerable Adult

Accompany the guardian back to where they last saw their child or vulnerable adult.

Report the situation to Event Control on Channel 1 including your location. Do not give the child's name or description over the radio.

3

Event Control will meet you at your location and take over.

⚠️ Important

If you need to leave your role at any point, make sure your head steward is aware before you do so.
